By creating a timecode.ph account, or by continuing to use the app after your employer or organization (the "Company") has enrolled you, you agree to these Terms and Conditions and to our handling of your data as described below.
If you do not agree, do not create an account. If you already have one and no longer agree, contact your Company's administrator to have your account deactivated.
timecode.ph is a face-verified time and attendance system. It lets employees clock in and clock out, share their location, view schedules and announcements, and lets administrators track attendance, manage employee records, and post announcements.
Account and profile information: your full name, nickname, email address, contact number, home address, designation, and emergency contact person and number.
Attendance data: a timestamp and your device's GPS coordinates every time you clock in or clock out. A face-scan image or face-match score may also be captured at that moment to verify your identity.
On-demand location shares: if you tap "Share location," we capture your device's current GPS coordinates and share them with your Company's administrators immediately.
Authentication data: you sign in with a one-time code (OTP) sent to your email or phone by our authentication provider. timecode.ph does not use passwords, and never stores or has access to the codes themselves once they expire.
Clocking in and clocking out requires sharing your device's GPS location. The app will not record a clock in/out event without it, and there is no way to disable this while using the clock in/out feature.
Where face-scan verification is enabled, a photo/scan of your face is captured at the moment of each clock in/out and processed to confirm your identity. Treat this as biometric data: it is sensitive, and access is restricted to your Company's administrators for attendance-verification purposes only.
By accepting these terms, you explicitly consent to this collection each time you use the clock in/out or share-location features.
To record and verify your attendance, compute time worked, and maintain an audit trail your Company can review.
To let your Company's administrators see your recent locations when you clock in/out or tap "Share location."
To contact your emergency contact person in the event of a workplace emergency.
To send you account-related notices (e.g. email confirmation, password reset) via our authentication provider.
Your Company's administrators can see your profile, attendance history, and shared locations.
Other employees cannot see your attendance history, location data, or emergency contact details.
We do not sell your personal data to third parties.
We retain attendance and location records for as long as your account is active with your Company, and for a reasonable period afterward as required for payroll, legal, or audit purposes. Contact your administrator to request deletion where applicable law permits it.
Keep the email or phone number linked to your account secure, and do not let anyone else sign in or clock in/out on your behalf.
Keep your emergency contact information accurate and up to date.
Do not attempt to falsify your location or clock in/out on behalf of another employee.
Your Company's administrators may suspend or deactivate your account, including if you leave the organization or violate these terms.
We may update these terms from time to time. Continued use of timecode.ph after an update constitutes acceptance of the revised terms.
